Event planning and management in Dubai
Most events do not fail on the idea. They fail on the schedule, the supplier who arrives late, or the decision nobody was authorised to make at 6pm. We plan the event on paper until it is boring, then run the floor so the version your guests see is the version you approved.

What it includes
- Brief, objectives and a budget broken down by line, not by lump sum
- Venue search, site visits and a technical assessment of power, access and load-in
- Permits and venue paperwork, prepared and submitted on your behalf
- Supplier sourcing, quotations, negotiation and contracting
- Production schedule, run sheet and a cue-by-cue show caller document
- Floor plans, guest flow, registration and accreditation
- On-site management: crew briefing, load-in, rehearsal, show, load-out
- Post-event reconciliation with the actual spend against the approved budget
Who it is for
- Companies running conferences, launches, award nights and staff events
- Government and semi-government entities with fixed protocol requirements
- Brands activating at exhibitions, malls and public venues in the UAE
- Organisers who already have a concept and need someone to execute it

How it runs
Brief
We agree the objective, the audience, the date window and the budget ceiling in one session, and write down what success looks like.
Plan
Venue, suppliers, permits and a production schedule with named owners and real deadlines. You approve it before anything is booked.
Produce
Load-in, build, technical rehearsal and a full crew briefing before doors. One show caller runs the room.
Deliver
Show, load-out, supplier sign-off and a closing report with the final numbers and what we would change next time.
Common questions
How early should we start planning?
For a conference or a large corporate event, eight to twelve weeks gives you a real choice of venues and suppliers. We do take shorter timelines, but at under four weeks the options narrow and costs move up, so we will tell you honestly what is still achievable.
Do you handle permits and venue approvals?
Yes. We prepare and submit the paperwork the venue and the relevant Dubai authorities require, and we track it to approval. Government fees are charged at cost and shown as a separate line in your budget.
Can you work with suppliers we already use?
Yes. If you have an existing caterer, AV company or venue relationship, we coordinate them inside our schedule rather than replacing them. We will flag it early if a supplier's scope overlaps or leaves a gap.
What does an event management fee cover?
Planning time, supplier coordination, documentation and on-site management by our team. Venue, catering, technical production and talent are separate cost lines that you see and approve individually.
